Location: E10 7ES London (Hybrid), 2/3 days from office

Reports to: Operations Manager

Work hours: 35 hours per week. Job share applications are welcome.

About Stay Safe East Stay Safe East is a by-and-for Deaf and Disabled Peopleandrsquo;s Organisation (DDPO) that supports and empowers disabled survivors of domestic abuse and violence. We work to ensure disabled people can live free from abuse, discrimination, and harm, with support tailored to their needs.

Aim of the Post

The Admin andamp; HR Officer is responsible for coordinating Stay Safe Eastandrsquo;s administrative, HR, and office systems. The role focuses on keeping systems, records, and processes organised, accurate, and running smoothly.

Working closely with the Operations Manager, the post holder supports staff and managers through clear and efficient administration. The post holder will liaise with external IT consultants and HR and employment advisors, who provide specialist support to the organisation.

Key Responsibilities Digital Systems andamp; IT Administration

andbull; Maintain and administer core organisational systems including BrightHR, Microsoft 365, SharePoint, Teams, Zoom, and related platforms.

andbull; Manage user access, permissions, records, and data accuracy in line with data protection requirements.

andbull; Coordinate IT and systems issues, resolving routine matters and liaising with external providers where needed.

andbull; Maintain clear administrative and HR process documentation.

andbull; Support staff to use systems effectively as part of onboarding and day-to day work.

Office andamp; Operational Administration

andbull; Coordinate the day-to-day running of the office, including suppliers, contracts, subscriptions, and renewals.

andbull; Manage shared calendars, meeting arrangements, and organisational schedules.

andbull; Manage petty cash for the office and oversee ordering of office supplies and equipment, ensuring approvals, accurate records, and value for money.

andbull; Coordinate cab bookings, event venue bookings, organise refreshments.

andbull; Act as a coordination point between staff, managers, and external providers.

andbull; Take and prepare minutes for Board meetings (approximately 5-6 times per year), including occasional attendance outside normal working hours, with time off in lieu where applicable. HR

Administration

andbull; Coordinate recruitment and onboarding processes, including DBS checks, right-to-work checks, references, and system set-up.

andbull; Maintain accurate records for employees, volunteers, trustees and PAs.

andbull; Manage HR and recruitment inboxes and track actions and deadlines.

andbull; Respond to routine HR process queries, referring advisory matters to the Operations Manager or external HR advisors.

andbull; Coordinate HR processes such as contract changes, leavers, probation documentation, and training records.

andbull; Coordinate and monitor regular staff surveys.

andbull; Support staff with Access to Work applications. Workforce Coordination andamp; Compliance

andbull; Coordinate staff induction processes and ensure timely access to systems, equipment, and mandatory training.

andbull; Manage training and development bookings and maintain the training calendar.

andbull; Produce routine workforce data and administrative reports as required.

andbull; Carry out additional tasks as requested by the Operations Manager or CEO.

Skills andamp; Experience

Essential

andbull; Experience in an administrative or operational support role within a busy organisation.

andbull; Strong IT skills, with experience administering Microsoft 365, SharePoint, Teams, and other digital systems.

andbull; Ability to manage multiple administrative and HR-related tasks, prioritise effectively, and meet deadlines.

andbull; Strong organisational skills with attention to detail and accurate record keeping.

andbull; Ability to handle confidential and sensitive information appropriately.

andbull; Clear and professional communication skills.

andbull; Experience working in the charity, voluntary, or non-profit sector.

andbull; Commitment to working in line with Stay Safe Eastandrsquo;s values and the social model of disability.

Desirable

andbull; Knowledge of accessibility and reasonable adjustments in the workplace (training can be provided).

andbull; CIPD level 3 and above qualification in HR.

andbull; Awareness of AI tools and interest in exploring their use at work.

andbull; Experience using HR or people-management systems (e.g. BrightHR or similar) for accurate record-keeping.

andbull; Experience coordinating recruitment, onboarding, and compliance processes (e.g. DBS, right-to-work checks).

andbull; Confidence supporting colleagues to use digital systems and follow agreed processes.

andbull; Experience improving or documenting administrative procedures.

andbull; Experience working within a Deaf and Disabled Peopleandrsquo;s Organisation.
