A fantastic opportunityandnbsp;based at Paragons Client Partnerand#39;s Guildford site, a globalandnbsp;Law firm. As a Workplace Services Operator you will be expected to provide a reliable, high quality and timely support function to the clientsandrsquo; office. You will be responsible for ensuring seamless access to a range of services such as Records Management, Print, Post and other Workplace Services. The Workplace Services Operator will be responsible for improving the day-to-day experience of our clientsandrsquo; employees by ensuring an elevated, connected and high performing workplace environment.andnbsp;

Hours:andnbsp;Monday to Friday 9am - 6pmandnbsp;

Your main duties would include:andnbsp;

  • Digitalandnbsp;mediaandnbsp;processing
  • Undertakeandnbsp;adhocandnbsp;photocopying/printing/bindingandnbsp;
  • Stationaryandnbsp;stockandnbsp;controlandnbsp;andandnbsp;orderingandnbsp;
  • Collatingandnbsp;ofandnbsp;allandnbsp;filesandnbsp;onandnbsp;closureandnbsp;inandnbsp;preparationandnbsp;forandnbsp;theandnbsp;archivingandnbsp;process,andnbsp;toandnbsp;includeandnbsp;liaisonandnbsp;withandnbsp;feeandnbsp;earnerandnbsp;inandnbsp;respectandnbsp;toandnbsp;financialandnbsp;andandnbsp;consumerandnbsp;codeandnbsp;letterandnbsp;drafting
  • Ensuringandnbsp;complianceandnbsp;withandnbsp;recordsandnbsp;managementandnbsp;proceduresandnbsp;andandnbsp;policies,andnbsp;providingandnbsp;aandnbsp;completeandnbsp;auditandnbsp;trail
  • Processandnbsp;anyandnbsp;returnedandnbsp;mailandnbsp;inandnbsp;lineandnbsp;withandnbsp;businessandnbsp;rules
  • Manageandnbsp;theandnbsp;effectiveandnbsp;disposalandnbsp;ofandnbsp;recordsandnbsp;inandnbsp;lineandnbsp;withandnbsp;businessandnbsp;procedures
  • Bookandnbsp;couriersandnbsp;usingandnbsp;agreedandnbsp;suppliers,andnbsp;logandnbsp;bookingsandnbsp;inandnbsp;aandnbsp;sharedandnbsp;spreadsheet,andnbsp;andandnbsp;verifyandnbsp;monthlyandnbsp;invoicesandnbsp;againstandnbsp;bookings
  • Managingandnbsp;deliveriesandnbsp;intoandnbsp;andandnbsp;outandnbsp;ofandnbsp;site
  • Provideandnbsp;supportandnbsp;forandnbsp;theandnbsp;serviceandnbsp;mailbox
  • Createandnbsp;E-Bibles
  • Anyandnbsp;reasonableandnbsp;adhocandnbsp;requestsandnbsp;relatingandnbsp;toandnbsp;print,andnbsp;postandnbsp;andandnbsp;records
  • Provideandnbsp;additionalandnbsp;administrativeandnbsp;supportandnbsp;toandnbsp;legalandnbsp;teamsandnbsp;andandnbsp;feeandnbsp;earnersandnbsp;asandnbsp;needed,andnbsp;andandnbsp;withinandnbsp;reasonandnbsp;andandnbsp;confinesandnbsp;ofandnbsp;theandnbsp;contractandnbsp;

Skills and Attributes we are looking for

  • Experience within a similar environment is ideal - Couriers / Mailroom / Print experience
  • Able to work on own initiative and as part of a team
  • Excellent customer service and client focusedandnbsp;
  • Excellent communication skills
  • Proactive approach with good attention to detail and problem solving skills
  • Positive and professional with a solution-orientated manner at all times
  • Strong IT skills, competent in Microsoft office applications
  • Ability to learn quickly
